Reminders about Remote Work Agreements

Remote Work Agreement reminders

  • The UW–Madison Remote Work policy and Remote Work Agreement (RWA) form were recently updated effective August 1, 2024, to reflect the new remote work period to be at the beginning of the fiscal year (July 1–June 30) and provide clarity regarding headquarter location.
  • Employees who currently work a recurring partially or fully remote schedule that is supported by their supervisor and unit’s remote work philosophy, should have a Remote Work Agreement (RWA) form completed, and must follow the UW-Madison Remote Work Policy.  
  • If an employee has already submitted a RWA, a new one does NOT need to be submitted.
  • If an employee has already submitted a RWA, and their current business address is different than their headquarter location, the unit, in consultation with CALS Administration (HR and/or Business Services), will determine if the RWA is required and whether the employee is eligible for travel reimbursement.
  • The deadline for submitting a new or revised Remote Work Agreement for FY25 is October 1, 2024. Going forward, employees working remotely will need to submit a new form at the start of each fiscal year (July 1).   • Employees may seek reasonable accommodations by contacting the CALS HR DDR mailbox if an employee’s documented medical condition(s) may be better managed with an alternative work location arrangement.

Remote work travel reimbursement

  • All travel reimbursements for employee with an approved RWA that are submitted on or before October 1, 2024, will be processed under the RWA rules in place prior to August 2, 2024.
  • All travel taken/claimed for reimbursement after January 1, 2025, must conform to the new remote work policy.
