CALS HR requests timely notice of start dates for all new hires
As HR continues to adapt to using Workday, and, more importantly, as the new semester starts, it’s crucial that CALS HR and your units’ administrative staff are aware of all new hire start dates, including student hourly employees, graduate assistantships, zero-dollar appointments and other post-degree training appointments.
When you hire someone into any of these employment categories, please notify CALS HR or your units’ administrative staff at least two weeks prior to their hire start date. You can identify the HR Manager/HR Generalist assigned to your department/unit in the CALS HR Staff Directory.
Timely notification is critical for several reasons:
- Timeliness and accuracy: It takes time to process new hire information and ensure the hires are set up correctly in the system.
- Paychecks: We need to ensure paychecks are processed without delay and that every employee receives their paycheck on time to support their living and educational expenses.
- Compliance: When hiring new employees, we must follow federal I-9 regulations, which require that Employment Eligibility Verification be completed within three business days of the employee’s first day of work. Failing to comply with the Federal requirements may result in Civil and Criminal Violations and Immigration-Related Employment Discrimination that could result in substantial fines for the University as well as potential immediate termination of the employee.
