Medical/FMLA/WFMLA/PPL leave needs for summer of 2025

As we prepare for Workday go-live on July 7, there is some pre-planning that needs to be done by employees and supervisors for those that anticipate needing medical and family-related leave.

As always, if an employee has a planned medical outage for their own health or to care for a family member that is more than 5 business days, please contact the CALS Divisional Disability Representative (DDR) to start the leave process. Forms need to be completed by the employee and a treating specialist. Once all forms are received, the request will be processed and entered into the current Human Resources System.

Any medical leave taken from June 29 through July 6 will be tracked manually by the supervisor, HR and the employee. Once Workday is live on July 7, medical leave will be entered from then on in Workday.

Key deadlines to be aware of:

June 14: Last day to enter Leave of Absences (LoA) with effective dates up to June 28 in HRS

  • A LoA includes any medical related leave.
  • Employees and supervisors should review existing leave terms and communicate updates as needed.

If an unplanned medical leave is needed between June 14 and July 6, please inform your supervisor and reach out to Kristin Carroll at calshr.ddrs@cals.wisc.edu

June 25: Last day employees can modify their timesheets for 06B (June 15-28)

June 29-July 6: Only time worked can be entered in HRS

  • The supervisor, HR and employee will manually track medical time off for future entry in Workday.

July 7: Workday opens for all employees

  • All LoA with effective dates June 29 need to be entered and approved in Workday.
